[Paid Position] Team Administrator (Part-Time)

Job Description – Administrator

Salary: £24,000 (pro rata, 0.5 FTE - 15 hours per week)

Contract: Fixed term, 6 months (with potential to extend)

Location: Based from our office in Reddish (Stockport) with the option to work from home occasionally (but will be based in office two days per week)

Hours: 15 hours per week, ideally spread out over three days, flexible working arrangements available

Mentell is a UK-based charity providing safe and confidential spaces for men to talk, free from advice or judgment. Through our network of volunteer-led Circles, we support men to improve their mental wellbeing, build connections, and reduce isolation.

Job Summary

As Mentell’s Administrator, you will play a vital role in supporting the smooth and efficient running of our charity’s operations to enable Mentell to deliver its mission - providing safe spaces for men to talk, free from pressure and judgement.

Organised, proactive, and approachable, you’ll manage a range of administrative functions, from data entry and meeting support to referral tracking, document preparation, and maintaining accurate records. You’ll be confident with Microsoft Office, Google Workspaces and digital systems, enjoy working collaboratively, and have a strong eye for detail.

Main Duties and Responsibilities

Administration & Office Support

• Act as the first point of contact for general enquiries, responding promptly and professionally by phone, email, or online platforms.

• Support day-to-day administrative functions including managing shared inboxes, calendars, and file systems.

• Maintain the charity’s stock of promotional materials and assist with event logistics when required.

• Support data collection, reporting, and evaluation processes across teams.

• Assist with the preparation of internal reports and documentation to a professional standard.

• Coordinate diary management, bookings, and internal communications for team members as required.

Service Delivery Support

• Provide administrative support to the Delivery Team - managing Circle records, DBS and training documentation, and volunteer communications.

• Collate and maintain accurate data, including attendance figures, feedback, and outcomes.

• Support the Directors in reviewing and improving administrative systems and processes.

• Assist in the coordination of meetings, training sessions, and promotional activities.

Communication

• Support Mentell’s operational communications through document formatting, tone, and accuracy.

Person Specification

Essential Experience, Skills and Abilities

• Experience working in a busy administrative role or charity setting.

• Excellent administrative and organisational skills with a high level of attention to detail.

• Strong written and verbal communication skills.

• Experience and Confidence using Microsoft packages, Google Workspace and CRM systems.

• Ability to prioritise and manage multiple tasks effectively.

• Strong interpersonal skills with a professional, friendly manner.

• Ability to maintain confidentiality and handle sensitive information appropriately.

Desirable Experience

• Experience working or volunteering in a mental health, wellbeing, or community organisation.

• Experience with data collection for reporting and impact purposes.

• Empathy and understanding of issues affecting men’s mental health and wellbeing.
